Privacy Policy
AI Collider Inc. ("AI Collider", "we", "us") builds AI assistants that answer calls and messages, measure properties and prepare quotes for trade businesses. This policy explains what personal information we handle, why, and your choices. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, for people in Québec, the Act respecting the protection of personal information in the private sector (Law 25).
Two roles. For our website visitors and our own business customers, we decide how information is used. When our AI answers calls or chats for one of our clients, for example a lawn care company, we process the caller's information on that client's behalf, as its service provider. That company is responsible for its own privacy practices. We help it respond to requests.
1. Information we collect
From our business customers
Name, business name, email, phone, billing details (processed by our payment provider; we do not store full card numbers), service areas, price lists and account settings.
From callers and customers of our clients
What a caller tells the assistant (name, phone number, email, service address, details of the job), call audio, recordings and transcripts, chat messages, photos a customer chooses to send, and the quote and booking details that result.
Property information
To prepare quotes, we estimate areas such as lawns, driveways and roofs from aerial and satellite imagery, public map and open-government data, and commercial property data. We link these measurements to an address, not to a person, and use them only to prepare quotes.
From website visitors
Messages you type into our chat, audio from your microphone if you start a voice demo (only after you allow microphone access), and basic technical data sent by your browser, such as IP address and device type. We do not use advertising cookies or third-party analytics trackers on this site. We store three small settings in your browser: whether you have seen the intro screen, whether sound is on, and whether the language suggestion was shown. Some of our fonts are loaded from Google Fonts, which receives your IP address when the page loads.
2. How we use it
- To answer calls and messages, prepare quotes and book jobs for our clients
- To send quotes, confirmations and service messages by email or text
- To set up, bill and support our clients' accounts
- To keep the Services secure, fix problems and measure quality, including reviewing transcripts where needed
- To improve our Services using de-identified or aggregated data
- To meet legal, tax and accounting obligations
We do not sell personal information. We do not allow our AI providers to use our clients' customer data to train their public models, where their terms give us that choice. We only send marketing emails to people who have agreed to receive them or where Canada's Anti-Spam Legislation (CASL) allows it, and every marketing email includes a way to unsubscribe.
3. Automated quotes
Quotes may be prepared automatically from a property measurement and the business's price list. If a quote was prepared this way, you can ask the business that quoted you to have a person review it. You can also ask us, and we will pass your request to that business. Quotes that the system cannot measure with confidence are held for a person to review before they are sent.
4. Service providers and where data is stored
We use trusted providers to run the Services, under contracts that limit their use of the data to providing services to us:
| Purpose | Examples | Location |
|---|---|---|
| Voice calls and chat assistants | Vapi, telephony carriers | United States |
| Language and vision AI | Anthropic, Google (Gemini) | United States |
| Maps and aerial imagery | Google Maps Platform, public imagery sources | United States / Canada |
| Database | Supabase | Canada (Montréal region) |
| Application and website hosting | Railway, Netlify | United States |
| Email delivery | Twilio SendGrid, Google Workspace | United States |
| Payments and invoicing | Stripe, Zoho | Canada / United States |
Because some providers are outside Canada, your information may be processed in the United States and may be accessible to authorities there under local law. Before transferring information of people in Québec outside the province, we assess the transfer as Law 25 requires. We may also share information when the law requires it, to protect rights and safety, or with a buyer or successor if our business is reorganized or sold, under confidentiality obligations.
5. Retention
We keep client account and billing records as long as the account is active and afterward as long as tax and accounting laws require. We keep call recordings, transcripts and quotes for our clients for as long as the client needs them to provide its services, as set out in our agreement with the client. When they are no longer needed, we delete or anonymize them. We keep website chat and demo logs for up to 12 months.
6. Security
We protect personal information with administrative, technical and physical safeguards suited to its sensitivity. These include encryption in transit, access controls limited to staff who need them, and provider-level security. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify affected people and the regulators as the law requires.
7. Your rights
You can ask to access or correct your personal information, withdraw consent (subject to legal or contractual limits), or ask us to delete information we no longer need. In Québec, you may also ask about the information used to make an automated decision about you and request that it be reviewed, and you can ask for your information in a structured, commonly used format. If we handled your information for one of our clients, we will pass your request to that business and help it respond. We reply within 30 days.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in Québec, the Commission d'accès à l'information (cai.gouv.qc.ca).
8. Children
Our Services are for businesses and adults. We do not knowingly collect information from children under 16.
9. Changes
We will post updates on this page and change the date above. If we make significant changes, we will notify our clients by email.
